5-minute setup

Get started in seven steps

The same flow every new CloudPMO user follows — from first sign-in to a submitted week of work.

1

Sign in and choose your organization

Enter your email and password, then select your organization (tenant). If you have no access, contact your Tenant Admin.

2

View your portfolio

Land on the Portfolio — every project with its health badge (on-track, at-risk, off-track) and key metrics.

3

Open a project

Click any project card to open its workspace: Attention panel, RAID summary, milestones, and schedule snapshot.

4

Explore the schedule

Open Planning. Use Grid for editing, Gantt for dependencies and critical path. Red bars are on the critical path.

5

Check the RAID register

Review risks, issues, assumptions, dependencies, and actions. A red banner means a critical item needs attention.

6

Enter and submit your time

Open Timesheets, pick your project and resource, enter actual hours, review daily totals, and click Submit week.

7

Request a new project

Use Demand to propose an initiative. The PMO team reviews, scores, and notifies you of the decision.

By role

Onboarding tailored to what you do

CloudPMO has six roles. Pick yours — the first few things to learn differ for each one.

Tenant Admin

You control workspace settings, members, and have full platform access. Start with user roles and demand scoring.

PMO Admin

Review project requests, manage the people pool, and track portfolio health. Your queue is the Demand Review section.

Project Manager

Manage your schedule, RAID register, and team delivery. Learn the project workspace, planning views, and dependencies.

Contributor

Your daily workflow is timesheets and work items: create work items, log actual hours, and review assigned work.

Executive

Monitor portfolio health, review project status, and get AI-assisted insights. Export the portfolio to CSV anytime.

Viewer

Read-only access to the Portfolio and Project Workspace. You'll see project health, milestones, and schedules.

How-to guides

Step-by-step for every area

Nine chapters covering the full platform, each with the common tasks your team will actually do.

Portfolio Dashboard

Your portfolio overview — all projects at a glance with health status, budgets, and upcoming milestones.

  • Find a project: sort by name, health, or budget, then click the project name to open its workspace.
  • Portfolio export: the Export executive pack control currently shows an export status message but does not yet produce a downloadable file. For a CSV you can open in Excel, use the schedule CSV export in a project.
Submit a Demand Request

Propose a new project or initiative. Your request enters the PMO review queue after submission.

  • Fill in the title, business problem, expected outcome, sponsor, and proposed owner.
  • Add the cost estimate, target dates, and expected benefits, then click Submit Request.
Demand Review Queue

Review, score, and approve or reject project requests from your organization.

  • Score a request: open it, review the business case, enter scores for each dimension, and click Save Score.
  • Approve or reject: select the decision, add a comment explaining it, and click Submit Decision.
Project Workspace

Your project command center — schedule health, RAID summary, milestones, and quick navigation to all project areas.

  • Check project health: review the Attention panel and the Schedule Snapshot.
  • Navigate to RAID: use the RAID Summary panel and click View.
  • Audit an AI status report before confirming it: open Project Status, generate the draft, inspect Signals and Sources, then confirm or export.
Planning — Project Schedule

Create, manage, and track your project schedule with WBS, dependencies, baselines, and Gantt views.

  • Create a task: click Create task, enter title and dates, set Auto or Manual mode, and Save.
  • Create a dependency: in Gantt, drag from the task bar's handle to the successor task.
  • Save a baseline: open Baselines, click Save baseline, name it, and Save.
  • Import a Microsoft Project schedule: in Settings → Import / Export, choose the .mpp file and click Import from MS Project.
Work Items

Track executable work items linked to your project schedule tasks.

  • Create a work item: click New work item, enter the title, link it to a schedule task, set assignee and due date, and Save.
RAID Register

Manage Risks, Assumptions, Issues, Dependencies, and Actions for your project.

  • Add a new item: click New, pick the type, and fill in severity, owner, due date, description, and mitigation plan.
  • Update status: open the item, click Edit, change Status, and Save.
  • Close a risk: set Status to Resolved or Closed — it moves to the Resolved section.
Timesheets

Compare planned effort with dated actual hours, then submit a complete Monday-to-Sunday week for approval.

  • Add an assigned task: in All my projects, pick the project's task and click Add task to this week.
  • Enter and submit a week: select project and resource, enter actual hours, review daily totals, and click Submit week.
  • Correct a rejected week: read the comment, fix the entries, and submit again.
Admin — Tenant Settings

Configure your organization's PMO settings. Only Tenant Admins can access this section.

  • Change a user's role: go to Admin → User Management, find the user, click their role, select the new one, and Save.
Common questions

Frequently asked

Which browsers are supported?
The latest two major versions of Chrome, Edge, Firefox, and Safari. Internet Explorer is not supported.
I can't sign in — what should I do?
Check that your email is correct, try resetting your password, then contact your Tenant Admin — your account may have been deactivated.
I can't see the Demand Review or Admin sections.
These sections are role-restricted. Demand Review is visible to PMO Admins and Project Managers; Admin is Tenant Admins only. Contact your Tenant Admin to request the role.
Can I edit a demand request after submitting it?
A PMO Admin or Tenant Admin can edit a request's content at any stage before it is approved or converted into a project. Once approved or converted, it can no longer be edited from review.
What's the difference between Auto and Manual scheduling?
Auto lets the engine calculate dates from dependencies and durations — recommended for most tasks. Manual lets you fix a date directly; the engine won't move it when dependencies shift. Use Manual only for fixed-date milestones.
What is the critical path?
The longest sequence of dependent tasks that determines the project end date. Red bars in Gantt view are critical-path tasks — any delay to one extends the project end date by the same amount.
What's the difference between a Risk and an Issue?
A risk is a potential future event that hasn't happened yet. An issue is an active problem happening now that requires immediate action.
Why is there a red banner on the RAID register?
One or more open risk items have Critical severity. Click the banner to filter to critical items. It disappears once no open risk carries Critical severity.
What's the difference between a Work Item and a Schedule Task?
A schedule task is a unit of work in the WBS with dates and dependencies that contributes to the critical path. A work item is a discrete action or deliverable tracked with its own status workflow — it can link to a schedule task.
Why can't I edit a submitted or approved timesheet week?
Submitted and approved weeks are locked. Ask the approver to reject the week, then correct the entries and submit again.
Troubleshooting

When something goes wrong

The schedule won't load
Click the Retry button that appears when loading fails. If it persists, contact your Tenant Admin — the scheduling service may be temporarily unavailable.
I got a permission denied error
Your role doesn't allow this action. Contact your Tenant Admin to request the appropriate role.
RAID item conflict error (409)
Someone else edited this item while you had it open. Refresh the item to see the latest version, then re-apply your changes.
Demand form validation errors
Required fields are highlighted inline. Fix all highlighted fields before submitting — Title, Business Problem, Sponsor, Cost Estimate, Target Start, and Target End are mandatory.
A timesheet exceeds the daily capacity
The message names the date, attempted minutes, and allowed minutes. Reduce task or ticket hours on that date, then submit again.
Weekend hours can't be saved
Saturday and Sunday require an approved exception for the same project, resource, and week. Click Request weekend hours and wait for approval, then enter the time and submit.
A Microsoft Project file couldn't be imported
No partial import is applied. Review the error details, correct the source file, and try again. If conversion can't be reached, check your connection.
Why is my schedule empty?
A new project has no tasks. Click Create task to start your Work Breakdown Structure.
