Trial & Fair Use Policy

Evaluate CloudPMO for 14 days, and use it fairly after that.

This policy sets out who can start a free trial, what a trial includes, and the usage limits that keep the shared platform fast and reliable for every Customer.

Version 1.0.0, effective 12 October 2026. Self-service trials are not yet open; early access is arranged through contact.

Part A — Trials

1. What a trial is

  • A trial is a CloudPMO tenant provided free of charge for 14 calendar days so that an organisation can evaluate the platform.
  • No payment method is required. A trial never converts to a paid subscription automatically and you are never charged for a trial.
  • Trial tenants have the features of the plan selected at sign-up, subject to the limits in section 3.
  • Trial tenants are covered by the same security measures and the same Privacy Policy as paid tenants.

2. Who may start a trial

  • Trials are for organisations evaluating CloudPMO for their own business use. The person starting the trial must be authorised to do so by that organisation and must be 18 or older.
  • Sign-up requires a work identity through your organisation's Microsoft Entra ID. Personal or disposable email domains are not accepted.
  • One trial per organisation. Starting further trials under different names, domains or tenants to extend free use is not permitted, and such tenants may be removed without notice.
  • A former Customer may request a new trial 12 months after its previous subscription ended. Requests go through support.
  • We may decline or end a trial where we reasonably believe it is being used by a competitor, for benchmarking for publication, or in breach of the Terms of Service.

3. Trial limits

  • Up to 1 User.
  • Up to 10 projects and 1 portfolio.
  • Up to 1 GB of file storage.
  • Import of schedules and files is available; bulk API access is not.
  • Support during a trial is by email and through the help centre, with a target first response of two business days.

4. What happens when a trial ends

  • On day 14 the tenant becomes read-only. Administrators can still sign in, review data, and export it.
  • Choosing a paid plan and completing the purchase through Paddle Checkout for international purchases or Paystack checkout for South African purchases at any point during the trial or the following 30 days restores full access with all data intact.
  • CloudPMO remains the supplier for South African purchases. Paystack is a payment processor, not a Merchant of Record.
  • 30 days after the trial ends, the tenant and all its data are deleted from live systems and purged from backups within a further 90 days. Deletion is permanent.
  • We send reminder emails to the tenant administrator 3 days before the trial ends and 7 days before deletion.
Part B — Fair use

5. Why fair use limits exist

CloudPMO is a shared, multi-tenant service. Plan prices assume ordinary project-management usage. Fair use limits stop a single tenant from consuming resources in a way that degrades the service for everyone else. They are not intended to restrict normal use by a delivery team of any size within its seat count.

6. Seats

  • A seat is a licence for one named individual. Seats may be reassigned when a person leaves the organisation, but not rotated among people to share one seat.
  • Service accounts used for integrations count as seats unless your plan includes API access without seat charges.
  • We may audit seat usage from tenant records. Where use exceeds the seats purchased we will ask you to true-up at the current rate; we do not charge retrospectively without notice.

7. Storage, requests and automation

  • Storage — each plan includes a storage allowance. We notify the tenant administrator at 80% and 100%; above 100% uploads are paused until storage is freed or added.
  • Interactive requests — normal use through the browser is not restricted; sign-in requests are rate-limited to protect accounts. Automated or scripted access to the web application is not permitted; use the API where your plan includes it.
  • API — where included, API use is subject to rate limits. Sustained use above those limits returns an error response rather than incurring a charge.
  • Reports and exports — large exports may be queued during peak periods. Repeated automated exports of an entire tenant more often than once per day are considered outside fair use.
  • Email — notification email is for Users of your tenant. Using CloudPMO to send bulk or marketing email is not permitted.

8. How we handle excessive use

  • We contact the tenant administrator first, describe the usage pattern, and agree a remedy — usually a plan change, added storage, or an adjustment to an integration.
  • Only where usage is actively harming the service for other Customers, or where we cannot reach you within 5 business days, will we throttle the specific capability involved. We do not suspend an entire tenant for fair-use reasons without prior notice, unless the usage poses a security risk or is seriously degrading the service for other Customers.
  • Deliberate circumvention of these limits is a breach of section 5 of the Terms of Service.

9. Changes to this policy

We may change trial length, eligibility or fair-use limits for new trials and new subscription terms. Changes that reduce a limit for an existing subscription take effect at its next renewal and are notified at least 30 days in advance. Each published version carries a version number and effective date.
