PAIA Manual

How to request records from CloudPMO.

This manual is published under section 51 of the Promotion of Access to Information Act 2 of 2000 ("PAIA"). It describes the records CloudPMO (Pty) Ltd holds and how to request access to them.

1. About this manual

Purpose and scope

CloudPMO (Pty) Ltd is a private body for the purposes of PAIA. This manual tells you what kinds of records we hold and how to ask for access to a record under PAIA. It does not list every individual record — it describes categories, as PAIA requires.

2. Information Officer

Who to contact

  • Information Officer: the director designated under POPIA section 55 by CloudPMO (Pty) Ltd. Registration with the Information Regulator is in progress.
  • Email: privacy@antsprojects.co.za
  • Physical address: 118 2nd Street, Linden, 2195, Johannesburg, South Africa
  • Postal address: PO Box 120, Cresta, 2118, South Africa
3. Records we hold

Categories of records

  • Company and governance records — incorporation, registration and tax records, board and director records.
  • Customer and contract records — subscription agreements, invoices, correspondence with Customers and their billing or payment-provider references.
  • Personal information about Users — account identity, role and audit-log records described in the Privacy Policy, held as operator on a Customer's instructions.
  • Personal information about visitors and prospective Customers — contact-form and waitlist submissions, described in the Privacy Policy.
  • Employment and contractor records — records relating to our own staff and contractors.
  • Security and operational records — infrastructure, access and incident records described on the Security page.

Customer Data entered into the platform (project plans, tasks, RAID items and similar) belongs to the Customer that entered it. A request for that data should go to the Customer first; we assist the Customer under our Data Processing Agreement.

4. How to request a record

Making a PAIA request

  • Complete Form 2 under the Promotion of Access to Information Regulations (the Information Regulator's prescribed request form) or email the Information Officer with enough detail to identify the record, your identity, and the right you are exercising.
  • We will respond within 30 days of a valid request, or tell you if we need longer and why.
  • Requests for your own personal information held by us are instead handled under section 8 of the Privacy Policy, which is usually faster.
5. Fees

What a request costs

A request fee and, for records found, a reproduction fee apply as prescribed under PAIA. We will tell you the fee before proceeding. There is no fee for a request for your own personal information under the Privacy Policy, apart from any prescribed copying fee.

6. Grounds we may rely on to refuse access

When we may say no

PAIA sets out grounds on which access to a record may be refused — for example, where it would unreasonably disclose another person's personal information, or where a request is manifestly unfounded or excessive. Where we refuse a request, we will give the reason and tell you about your right to apply to a court or complain to the Information Regulator.

7. Further guidance

The Regulator's guide

The South African Human Rights Commission / Information Regulator publishes a guide on using PAIA, available at inforegulator.org.za, which explains the Act in more detail than this manual.
